How this wedding seating chart planner works

This tool is designed to give you the flexibility of professional wedding software without the learning curve. You can manage your entire reception layout in three steps: add guests, create tables, and assign seats.

1. Build your guest list

  • Add individually: Type a name and optional side (Bride, Groom, Both), then click Add.
  • Bulk paste: Paste a list of names (one per line) and click Add pasted guests.
  • Clean up: Use Clear all guests if you want to start over.

2. Set up tables and seats

For each table you can define:

  • Name/number: e.g. “Table 1”, “Family A”, “Head Table”.
  • Seats per table: Any number from 1 to 20.
  • Shape: Round or rectangular, with a visual layout preview.

Add as many tables as you need. The stats panel will show you if you have enough seats for all confirmed guests.

3. Assign guests to seats

  • Click a guest in the left panel to select them.
  • Click a seat in the table layout to assign that guest.
  • Click an occupied seat to clear it, or assign a different guest.
  • Use Auto-fill tables to quickly seat everyone in order.

4. Export and share your seating chart

  • Export plan (JSON): Save a text file with all guests, tables, and assignments so you can reload it later.
  • Import plan: Paste a previously exported JSON plan to restore your layout.
  • Copy printable summary: Generates a clean, text-based list of tables and guests suitable for printing or sending to your venue.

Tips for stress-free wedding seating

Group guests logically

  • Seat immediate family close to the head table.
  • Group friends by how they know you (school, work, sports, etc.).
  • Consider age, mobility, and noise levels when placing older guests or families with young children.

Account for RSVPs and last-minute changes

Many couples finalize their seating chart 1–2 weeks before the wedding. Leave a few flexible seats at the back or sides of the room for unexpected plus-ones or late RSVPs.

Coordinate with your venue and vendors

  • Share the printable summary with your planner, venue, and caterer.
  • Mark any special requirements (high chair, wheelchair access, allergies) directly in the guest name or notes.
  • Ensure table numbers in this planner match the physical table numbers and escort cards.

Frequently asked questions

Can I use this for engagement parties or other events?

Yes. Although it’s optimized for weddings, the planner works for any seated event: engagement parties, rehearsal dinners, corporate banquets, or birthday celebrations.

How many versions of the seating chart should I keep?

It’s wise to keep at least two versions: one “working” version while RSVPs are coming in, and one “final” version that you export and share with vendors about a week before the event.

What if I don’t know my exact floor plan yet?

You can still use this tool to group guests into tables and adjust the exact table positions later once your venue confirms the layout. The important part is who sits with whom and how many seats each table has.
